Our approach

The integrity and professionalism of the Certification Process cannot be compromised. Other than this, our approach is to offer the client total flexibility whenever and wherever we can. In addition our Internal Systems have been structured to support this flexibility and to minimise the inconvenience to our Clients.

For international and Multi-site Clients, AJA will prepare a Certification Project Plan developed specifically around our needs and inputs. A Project Manager/Lead Assessor will be appointed to ensure that an efficient and consistent approach is maintained addressing those needs which will be identified in the Certification Project Plan. The Project Manager will be your permanent point of contact, but will not detract from the local interface between your sites and AJA offices.

The lead-time from Application to Certification is guaranteed at six weeks or a mutually agreed date. However, should you require a shorter lead-time AJA will generally be able to comply with your wishes.

The application and First Year Fees are required on submission of the Application. Annual fees are for the cost of Surveillance Visits only. There are no Annual Levies or Certification Fees.

AJA also operate a small business option to minimise the cost for small business operating simple processes on a single site with less than ten employees.

Generally the document Review is completed off-site to minimise disruption to the Customer. However, should your preference be for an on-site Document Review, then this can be accommodated by the Team Leader at no extra cost, other than travel and subsistence expenses where appropriate.

AJA Registrars BV do not require any specific format for Client documentation other than it must satisfy the requirements of the appropriate Standard. Its structure and wording should be appropriate to the Customer's culture and easily understood by those who will have to comply with the requirements. We do not expect the Procedures to exactly follow the Clauses of the Standard to make life easy for our Assessors and Auditors.

Assessment and surveillance dates are by mutual agreement (not imposed). Surveillance dates can be within plus or minus one month of Surveillance due date. An Itinerary is provided in advance of Surveillance Visits for the convenience of the Client.

Certificate Issue will usually be within ten to fifteen working days of successful completion of the assessment, but guaranteed to be no greater than twenty working days.

AJA has an Integrated Quality and Environmental Certification System (the first Integrated Certification System to be Accredited by UKAS) which provides us with the ability to combine EMS and QMS Certification Assessments and Surveillance visits, thereby minimising costs to the Client. Surveillance visits can be combined at a later date if the Initial Assessments were carried out separately.

Full reporting prior to leaving site following the Assessment. No surprises later when the Report arrives.

AJA Registrars BV maintains a streamlined professional Management Structure which guarantees effective cost control. This is reflected in our extremely competitive fees. AJA is also managed by its Principle Shareholders. This ensures that there are no corporate, Group or Head Office charges to exaggerate the fees charged to our Customers. This also ensures that AJA is responsive to Customer needs and is approachable, even at the highest levels of management.
